Position Summary:
The Surgery Scheduler is responsible for coordinating and scheduling surgical procedures while ensuring accuracy, efficiency, and exceptional patient service. This role serves as a liaison between physicians, patients, clinical staff, and insurance providers to facilitate seamless scheduling and preparation for procedures within the Cypress Surgery Center.
- Schedule and coordinate surgical procedures in accordance with physician availability, facility resources, and patient needs
- Communicate with patients regarding procedure dates, arrival times, pre-operative instructions, and required documentation
- Verify and collect demographic, insurance, and authorization information for scheduled procedures
- Obtain and track prior authorizations and referrals as required by insurance plans
- Coordinate with physician offices, anesthesia providers, and ASC departments to ensure scheduling accuracy
- Review physician orders and ensure all necessary documentation is complete before procedures
- Prepare and maintain accurate patient records within the electronic medical record (EMR) system
- Confirm scheduled procedures and communicate any changes promptly to patients and staff
- Maintain surgery schedules and optimize scheduling efficiency while minimizing conflicts
- Ensure compliance with HIPAA regulations and patient confidentiality standards
- Assist with administrative duties including answering phones, filing, scanning, and maintaining records
- Provide excellent customer service and support to patients and team members
- High school diploma or equivalent required
- Minimum of 2 years of surgery scheduling, medical scheduling, or healthcare administrative experience preferred
- Experience in an Ambulatory Surgery Center (ASC), hospital, or physician practice preferred
- Knowledge of medical terminology, surgical procedures, and insurance verification processes
- Experience obtaining prior authorizations and referrals preferred
- Proficiency with EMR systems and Microsoft Office applications
- Strong organizational, communication, and multitasking skills
- Ability to maintain accuracy and attention to detail in a fast-paced environment
- Ability to sit for extended periods while working at a computer
- Frequent use of phones and office equipment
- Occasional standing, walking, bending, and lifting up to 15–20 pounds
- Excellent interpersonal and communication skills
- Strong time management and prioritization abilities

normal office environment.
