REPORTS TO*: Practice Manager and Administrative Manager*JOB SUMMARY:*Newton-Wellesley Orthopedic Associates (NWOA) is a multi-specialty practice providing a comprehensive range of orthopedic care for the community since 1970.We are seeking a Patient Services Coordinator (PSC) to join our growing team of dedicated and compassionate staff.This is an exciting opportunity to become part of an experienced, growing practice.Healthcare experience is preferred, but we will train.The ideal candidate must have a passion and expertise for making a difference in patients' lives.A successful candidate will thrive in a fast-paced environment, work effectively with cross-functional teams, work independently to support our patients, and have customer service experience.This position reports to the Practice Manager.*ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES*:Working under the general supervision of the Administrative Manager, the Patient Services Coordinator (PSC) will provide administrative support to providers within an outpatient medical practice setting.The PSC will be responsible for front desk operations, as well as operations within the practice.The PSC will be expected to function with minimal supervision in a fast-paced environment, and will ensure that the patient is greeted with a warm welcome and assistance with checking in.Some of the essential functions, duties and responsibilities include but are not limited to:*Front Desk Responsibilities *The PSC is responsible for greeting patients as they arrive for appointments, as well as completing processes to capture patient demographic and insurance information in a timely manner.Specific tasks include:*Check-In ** Verifies patient identity upon patient initial check-in by using two patient identifiers* Ensures registration is updated as needed* Checks in patients by verifying demographic information, ensuring referral on record, and current account balance is zero* Collects patient copays on every patient and if copayment is not collected, denotes reason in EPIC and asks patient to sign a waiver* If patient brings in an outside medical record, makes a photocopy and adds to patient chart.* Issues relevant intake forms (i.e.Patient Questionnaire, billing forms and policies) and facilitates patient completion*Check-Out ** Upon patient check-out, reviews follow-up information requested by the clinician in EPIC DAR and schedules next appointment and/or testing as needed* If follow-up appointment is made for any location, will follow appropriate booking protocol* Confirms next appointment date and time with patient, and hands documentation of next visit/appointment card with date and location*General Administrative Tasks ** Answer telephone calls and triage patients accordingly* Schedule outpatient practice/testing/clinic appointments following practice guidelines* Assist with referral queue management responding to referrals and scheduling appointments* Review schedules for capacity and accuracy of appointments* Assist with managing efaxes, patient requests and documentation needs* Scans documents into EPIC following standard procedures* Cross covers for other staff members for breaks, lunches, and absences (sick or vacation)* Other administrative tasks as assigned by the Practice Manager/Administrative Manager* Performs all other duties that are practice and location specific and appropriate to this position*COLLABORATION AND SUPPORT:** Collaborates with members of the clinical team, leadership and billing staff* Exhibits highly professional, team-oriented behaviors and models professional behavior with a strong emphasis on customer service and team goals* Willing to cross-cover and go to different sites as needed* Builds strong and trusting relationships with all members of the practice* Actively promotes and models clinical and service excellence at all times*QUALIFICATIONS: *_*Skills/Abilities/Competencies Required:*_* Ability to work with minimal supervision* Able to work well as part of a collaborative healthcare team Excellent interpersonal skills are required for working with patients and peers* Strong oral and written communication skills* Computer literacy* Strong organizational skills, attention to detail, and ability to prioritize a variety of tasks* Ability to demonstrate professionalism and respect for patients and peers*PHYSICAL ENVIRONMENT:** PSC will work primarily at a workstation within an office environment.*Work Locations:** 2000 Washington St., White Bldg., Stes.341/343, Newton* 40 and 54
