Duties:

Oversees the daily activities of the Patient Access department with special emphasis on the ED and Centralized Scheduling Department to ensure department standards. Will be responsible for the timely collection of demographics, financial and regulatory information to conduct an assessment of the hospital’s financial and compliance risk, related to the delivery of patient care. These functions include timely collection of patients copays.

Upon the recommendation of the Training Coordinator, will educate the evening/overnight/weekend staff of any changes pertinent to their job duties and responsibilities and will provide guidance to the Weekend Patient Access Coordinator.

Responsible for ensuring that all Patient Access employees adhere to the hospital Time and Attendance Policy and if necessary, will initiate any disciplinary action.

Will ensure that pre-registrations are maintained for at least an 85% level for both the Medical and Behavioral Clinics.

Assists with and responds to escalated “customer” calls. Investigates and resolves complaints, questions and concerns in a professional manner taking corrective action in those situations requiring immediate intervention.

Supervises and assists with the orientation of new employees. Will ensure that employees are trained to effectively and efficiently perform their job duties especially during their probationary period.

Will “Re-evaluate” existing employees and if necessary, make recommendation for retraining.

Works closely and professionally with Nursing and Ancillary departments in an effort to maintain a team approach.

Works closely with the ADN to obtain an accurate evening Census Count.

Develops/reviews weekly staffing matrix:

i. Informs Director of projected staffing deficits/excesses

ii. Suggests alternative staffing strategies

Works flexible hours to oversee staffing issues on the evening/weekends and is responsible for obtaining adequate coverage.

Ensures delivery of excellent customer service resulting and improving patient satisfaction scores {Press Ganey} for the department and the institution.

Ensure that all information is disseminated appropriately to PFS, PHI and Revenue Cycle on a timely basis.

Monitors registration and preservice statistics and creates workflow enhancements based on these results.

Acts as liaison with other departments (e.g., Nursing, Emergency, Finance, Human Resources, Ancillary Areas, MIS) to process patients effectively; meets with administrative and medical staff to discuss and resolve problems regarding Admitting and Scheduling functions.

Selects, hires, trains and supervises departmental staff; initiates disciplinary action, including terminations; carries out annual performance appraisal of employees recommending promotions, raises, etc.

Assists staff with resolving decisions about admission of patients to units if problems or conflicts should arise. Assists staff with scheduling patients if problems or conflicts are present.

Understands and adheres to the Medical Center’s Code of Conduct.

Familiar with the Medical Center’s Mission, Vision, and Values Statements.

Maintains established departmental policies and procedures, objectives, quality assurance program, safety, environmental, and infection control standards.

Other Duties:

Performs other duties as assigned to support the overall objectives of the department and organization.

Position Qualifications:

2-3 years' previous Admitting department supervisory experience preferred.

Good oral and written communication skills.

Good interpersonal skills.

Speaks, reads and writes English to the extent required by the position.

Education:

Bachelor’s degree in a healthcare related field or suitable combination of education and experience required.

Job Setting/Physical Demands:

Office environment.

No physical demands.

Salary commensurate with experience within posted range:

$50,000 to $70,000 annually
