ASSISTANT CLINICAL SERVICES MANAGER/ONCOLOGY - Registered Nurse

Toledo Clinic's Oncology Department is seeking an Assistant Clinical Services Manager to oversee the day to day operations of assigned office locations and supervise the clinical staff. This position will need to travel different office locations near Toledo OH. Requires an Ohio RN license with Oncology experience. This position is full-time, M-F, with no weekends or holidays.

General Summary

The Assistant Clinical Services Manager shares responsibility for clinical operations and efficiencies, under direction of the Clinical Services Manager. They will be called upon to fill in as a working manager with responsibility for providing professional clinical care in the outpatient oncology setting, following established standards and practices. Serves as an active participant of the Toledo Clinic Cancer Centers Management Team that collaborates in providing comprehensive care. Supports all day-to-day clinical operations at assigned location/s, and supportive of Clinical Services Manager. Work amongst Management Team on day-to-day staffing. Assist in hiring and disciplinary action of assigned staff members. In collaboration with Toledo Clinic Cancer Centers Management, supports clinical quality and safety initiatives as applicable. Responsible for necessary workflow adjustments to meet clinical quality and safety initiatives, and holding staff accountable for these initiatives.

Essential Duties & Responsibilities

  • Consistently arrives at work on time and adheres to regular work schedule.
  • Responsible for direct leadership and management oversight clinical staff:
    • Clinical Care Excellence.
    • Customer Service Excellence.
    • Quality Patient Care Initiatives.
    • Appropriate and complete patient documentation.
  • Oversees and monitors activities and staffing of clinical care team to optimize efficacy, teamwork, and patient service:
    • Assists in Monitoring volumes of infusions rooms and adjusts staffing as needed.
    • In collaboration if other Clinical Services Manager and other Management Team Members, assures completion of the weekly staffing schedule for all practice locations.
  • Understands the Practice’s clinical policies and procedures, and ensures proper execution thereof. Revises clinical policies and procedures and necessary to match workflows or updated clinical guidelines.
  • Demonstrates expert knowledge in clinical organization structure and provides efficient and effective communication to all clinical staff members.
  • Collaborates with pharmacy team to assure safe clinical practice standards are met.
  • Collaborates with business team to assure that patients treatment approval and treatment initiations are coordinated effectively to reduce delay in patient care and reduce negative financial impact to the practice.
  • Collaborates with quality and care navigation team to meet standards and assure patients are receiving high level care in an efficient and comprehensive manner.
  • Learns all clinical positions and is able to step in and provide assistance as needed throughout the day.
  • Management of Infusion Room Services:
    • Assures compliance with regulations related to preparation, handling, and administration of all therapies.
    • Assures that patients have received therapy education related to treatment plan.
  • Oversees infusion room schedule and collaborates with Clinical Services. Manager to address any staffing or scheduling issues.
  • Assists in completion of weekly payroll as required.
    • Assures that approved PTO is fair and equitable.
  • Monitors and addresses any overtime issues amongst direct reports.
  • In collaboration with Clinical Services Manager, recruits and hires new employees to fill existing and new positions.
    • Collaborates with Human Resources to post positions and conduct interviews of new employee candidates for clinical positions at assigned offices.
    • Assures 90-day evaluations are completed in a timely manner.
    • Addresses performance issues in a timely manner prior to completion of 90-day period.
    • Assures orientation process is completed and documented.
  • Assure orientation of all direct reports to new employees or new workflows.
  • Assures annual competency assessments are completed and documented.
  • Completes annual review of policy and procedures in collaboration with Management Team. Updates direct reports of any changes.
  • Assures compliance with staff licensure requirements and regulatory requirements related to clinical operation of an oncology office:
    • BLS certifications.
    • RN/LPN Licensure.
    • MA registration/certification.
  • Serves as leader of Practices’ certification processes for QOPI.
    • Organizes work groups around the certification.
  • Assures reporting of and reviews incident reports:
    • Evaluates type of incident.
    • Monitors and reports on findings.
  • Reviews and addresses issues identified in patient complaints and incident/near miss reports.
  • Exhibits excellent written and verbal skills.
  • Utilizes assertive communication skills in addressing concerns or problems.
  • Participates as a member of organization/institutional committees as requested.
  • Able to conceive innovative strategies and ideas for the center, exhibiting “out of the box” thinking.
  • Performs job duties effectively with minimal direction.
  • Initiates new ideas that enhance patient care or other aspects of services and care.
  • Service as a team member among co-workers and peers.
  • Participates in TCCC activities that enhance patient care and work surroundings.
  • Participates in assuring that all personally identifiable healthcare information of the patient will be maintained confidential.
  • Assures that any oral or written disclosure of personally identifiable healthcare information should be minimum necessary to serve the purpose of performing quality care to the patient.
  • Understands and demonstrates sensitivity to the cultural diversity of patients, staff, and visitors.

Knowledge, Skills & Abilities Required

Required:

  • Consistently arrives at work in appropriate/professional attire.
  • Completes all tasks within established time frame.
  • Adheres to all clinic policies and procedures.
  • Active and appropriate state(s) RN licensure.
  • 2-3 years minimum in oncology.
  • BLS or CPR certification.
  • OCN certification or obtain within 24 months of hire.
  • Seeks appropriate tasks when primary tasks are completed and assists co-workers as needed.
  • Demonstrates adaptability to expanded roles.

Education:

  • BSN or relevant years of experience with ADN.

Preferred:

  • MSN or other healthcare relevant Master’s degree.
  • Current ONS Chemotherapy/Biotherapy Certification.
  • Previous experience in a supervisor or leadership role.
