Sentara is hiring an Operations Coordinator for Echocardiography Services!

This position is fully onsite, with potential to transition to a hybrid schedule.

Overview

The Operations Coordinator for Echocardiography Services serves as a key liaison between scheduling, clinical operations, and quality teams to ensure efficient coordination of patient care and optimal use of echocardiography resources. This role is responsible for validating preauthorization and orders, monitoring schedules, supporting access and utilization initiatives, and assisting operational leaders in managing daily workflows across all echocardiography sites. The coordinator plays a critical role in optimizing patient access, and ensuring compliance and readiness prior to each study.

  • The Operations Coordinator for Echocardiography Services provides operational, administrative, and project coordination support to the cardiovascular and perioperative service line leadership and team members. This role serves as a central coordination point for service line initiatives, assisting with project tracking, meeting coordination, documentation, vendor management, and administrative support to ensure efficient operations across the cardiovascular and perioperative service lines.

    The Operations Coordinator supports cross-functional collaboration, helps maintain project timelines and documentation, and ensures operational tasks are executed effectively to support strategic service line goals.

    Key Responsibilities

  • Provide coordination support for cardiovascular and perioperative service line initiatives and projects.

  • Maintain project tracking tools to monitor timelines, deliverables, and action items.

  • Assist project leads with coordination of meetings, materials, and follow-up tasks.

  • Maintain centralized documentation for service line initiatives including project plans, charters, presentations, and reports.

  • Track progress of service line initiatives and provide updates to leadership as requested.

  • Support cross-functional collaboration across clinical, operational, and administrative teams.

  • Track vendor contracts and agreements related to cardiovascular and perioperative service line initiatives.

  • Maintain documentation within contract management systems.

  • Coordinate vendor communications and track invoice submissions and payment timelines.

  • Assist leadership with monitoring contract renewal timelines and required documentation.

Education
  • High School Diploma (Required)

Certification/Licensure
  • No specific certification or licensure requirements

Experience
  • 2 years of clerical experience required

  • Strong multitasking, experience with vendor relationships, and experience working in high-tempo environments preferred.
