POSITION SPECIFICS

Title: Registration Specialist

FTE: 1.0 FTE (40 hours/week)

Schedule: Monday-Friday 8:00am 4:30pm with variable times between 7:00am 5:00pm to meet department needs when necessary

Holiday Rotation: None

Weekend Rotation: None

On Call Requirements: None

POSITION SUMMARY

Performs a variety of receptionist duties to keep the front office and clinic running smoothly and well-organized.

POSITION TECHNICAL RESPONSIBILITIES

Customer Service Responsibilities:

  • Immediately welcome patients and their family members on the phone and in person with a warm greeting. Use the patients name throughout the encounter, make eye contact and close every encounter warmly.
  • Answer the telephone within 20 seconds (4 rings) and use the appropriate greeting to include: the clinic, your name and an offer to assist.
  • Use professional and courteous language and maintain a positive tone in every encounter with both external and internal customers. Actively listen to patients to best meet their needs, while showing empathy.
  • Keep patients informed of any delays in the process.
  • Take responsibility for the encounter and received calls, including transfers to internal departments.

General Duties

  • Schedule appointments for patients in a friendly, professional manner utilizing the appropriate provider template to ensure accuracy.
  • Direct phone calls to the appropriate staff or take complete messages and route them to the appropriate person in a timely manner.
  • Gather appointment, demographic and insurance information when scheduling appointments.
  • Verify patient demographic and insurance information upon check-in.
  • Assist patients with completing and signing all required documentation and questionnaires.
  • Communicate any required payment due at the time of check in when scheduling.
  • Collect all co-pay and self-pay balance payments.
  • Send all payments and receipts to business office on a daily basis.
  • Keep current with changes in insurance benefits.
  • Keep current with all process changes.
  • Maintain confidentiality of patient information.
  • Maintain a neat, clean and professional work area free from food. Keep patient waiting areas cleaned, organized, and with current resource materials.
  • Open and deliver mail daily.
  • Adhere to departmental expectations (i.e. attend required meetings; participate in quality and process improvement projects, service recovery).
  • Cross train and staff other clinics as needed.
  • Perform other duties as assigned.

  • Preferred: One year working in a medical office setting, medical terminology, and computer knowledge of medical billing systems
