Intake Coordinator (Part-Time, Weekends)
Pyramid Healthcare Newport News Detox & Residential Treatment Center
Location: Newport News, VA
Schedule: Two openings (Saturday & Sunday)
8:00 AM - 5:00 PM
11:00 AM - 7:00 PM
Compensation: $18-$20 per hour
About Us
Pyramid Healthcare's Newport News Detox and Residential Treatment Center provides comprehensive, evidence-based care for individuals navigating substance use disorders and co-occurring mental health conditions. Our medically supervised detox and structured residential programs support clients at every stage of recovery through individualized therapy, life skills development, and holistic services.
Position Summary
The Intake Coordinator is a vital member of the admissions team and serves as the first point of contact for incoming clients. This role ensures a smooth, supportive, and compliant admissions and discharge process by coordinating documentation, assessments, communication, and insurance-related requirements.
Key Responsibilities
Facilitate and complete admission paperwork; verify required documentation (e.g., identification, insurance) and collaborate with nursing staff
Conduct level-of-care assessments and complete required documentation (e.g., PCPC/ASAM)
Manage insurance processes, including precertification and utilization review communication
Assist clients with Medical Assistance applications and coordinate with external partners as needed
Communicate with probation/parole officers and employers, as appropriate and with proper consent
Maintain accurate client records, including photographs and documentation
Coordinate discharge planning, including scheduling outpatient appointments and support services
Conduct prescreens via phone and in person; enter data into the EHR and schedule assessments
Ensure confidentiality and compliance with all regulatory and organizational standards
Complete required trainings and perform additional duties as assigned
Qualifications
High school diploma or equivalent required
Prior experience in behavioral health or substance use treatment preferred
Knowledge of insurance authorization processes and intake procedures is a plus
Strong organizational, communication, and multitasking skills
