The Supervisor-Healthcare Services Coordinator is responsible for supervising and coordinating the daily activities of Healthcare Services Coordinators (formerly Intake Coordinators) and Medical Assistants. This role ensures administrative efficiency and high-quality services through strong team leadership, staff training, scheduling, and workflow oversight. In addition to supervisory duties, this position also performs the operational tasks of the staff they oversee, ensuring continuity of services and support across departments.

Qualifications:

  • High School Diploma or GED. An associate's degree, preferably in business or healthcare, is preferred.
  • Experience of 5 years in healthcare is required. An associate's degree may substitute for 2 years of experience. A bachelor's Degree may substitute 4 years of experience. One year of supervisory experience managing employees and administering policies is preferred.
  • Medical Assistant (MA) experience is a plus.
  • Valid Driver's License and proof of automobile liability insurance coverage.

Primary Responsibilities:

  • Serve as the primary point of contact for administrative functions in the Adult Outpatient Substance Use and Mental Health Departments.
  • Oversee provider scheduling, ensuring accurate appointment types, full schedules, and daily productivity targets are met.
  • Adjust schedules for provider absences and arrange coverage for SUD assessments and group sessions.
  • Monitor daily work queues for direct reports to ensure productivity and appropriate task distribution.
  • Coach and mentor staff; provide or delegate training and evaluate competencies.
  • Provide continuous performance feedback and complete employee evaluations.
  • Collaborate with the Healthcare Service Manager, Director of Operations (DOO), or Back Office Manager, depending on the circumstances, to address performance or behavioral concerns.
  • Check in clients, collect payments, and maintain a welcoming front office environment.
  • Complete patient registration, ensuring accuracy and proper documentation.
  • Troubleshoot and utilize various technology systems confidently.
  • Maintain daily communication with staff regarding appointments, group scheduling, UA results, and referrals.
  • Perform administrative duties such as bank deposits, mail handling, cash reconciliation, ordering supplies, and managing inventory.
  • Answer incoming phone calls and route messages appropriately.
  • Promote a collaborative, positive, and efficient work environment.
